Pre-Event Checklist

Goal Setting - What does success look like for you?

Take some time to think about the purpose of this gathering and what your intended outcomes will be.

  • Identify the purpose of your space and meeting, e.g. to learn and practice Korean together, to discuss a book we’ve read, etc. 
  • Identify your core intended audience, e.g. KQT Adoptees in the midwest, KQT Creatives interested in documentary filmmaking, etc. 
  • Define your goals and what success would look like, e.g. Attendees walk away meeting someone new, Participants learn new skills, etc. 

Logistics & Tech - How will you meet? 

Determine how attendees will meet and what support inputs you’ll need to run your event.

  • Determine the appropriate tech platform and required materials, e.g. Zoom, Instagram Live, Google Meet, etc. 
  • Determine date and time of gathering including the deadline to register, TIP: Make sure you have at least 3 weeks to prepare for the main event
  • Draft your starting agenda, e.g. List out the main sections of your event - Welcoming, Introductions, Presentation, Breakout Groups, etc. 
  • Draft your invitation language, TIP: Put yourself in the shoes of a first-time attendee. What would you most like to know about an event before submitting an RSVP? 
  • Determine RSVP and attendance gathering method, e.g. Zoom Event Registration Forms, Google Forms, Eventbrite, etc. 

Team Support - Who will you invite to help you? 

Depending on the size of your audience, you may want to have more than one person on your support team. In most cases, we recommend always having at least one person be your co-facilitator or technical coordinator

  • Identify your team and supporting roles, TIP: See the section on Assembling Your Team
  • Assemble your team and delegate role assignments, TIP: Ask for help. Check out the Resources tab to seek ways to ask for support in the KQTx Discord Channel or Newsletter List
  • Make sure all team members can commit and attend, TIP: Clearly communicate your expectations with your team members and make sure you’re aligned on the date and time of the event, including time for preparation

Communication & Access - What message will you share?

Successful events are made possible through strong and clear communication. Set aside some time to be intentional and as thorough as possible with your messaging. 

  • Create space for accessibility needs to be communicated, Remember: Always communicate what access support will be provided first and then ask your attendees
  • Create outreach and awareness materials, e.g. Fliers, Shortlinks, Registration Forms, etc. 
  • Proofread and send invitation out to your core intended audience, TIP: Make sure to proofread and share a test/preview message to yourself and at least a few others  to catch any potential typos, errors, etc. 
  • Share materials with relevant partners and networks, TIP: Draft up an easy email message that you can copy/paste and personalize for other community partners or social networks that can help spread the word
